Barcode billing links a scanned code to the right product record, so a cashier adds an item in a second instead of searching for its name. But the scanner is only as good as the catalogue behind it. A fast scan of the wrong item still produces a wrong bill.
Starbooks POS supports barcode scanning and thermal receipt printing out of the box, on Windows 10/11, Android and iOS. It is in early access with a three-month free trial, and our team sets it up with you. This checklist covers what to prepare so your counter is ready on day one.
Start with a clean product catalogue
Give each sellable variant its own record. Two packs with different weights should not be merged just because they share a brand. Likewise, a single unit and a carton need a clear relationship if you buy one and sell the other.
When you prepare a spreadsheet, keep barcode values as text so leading zeroes do not disappear. Check for duplicate codes, blank codes and old codes still attached to discontinued products.
Pick a small sample that represents the tricky parts of your shop: similar-looking packs, loose goods, products without a manufacturer barcode, and items with batch or expiry dates. Starbooks tracks batches and expiry with FEFO (first expiry, first out), so include a couple of those items. Our batch and FEFO guide explains why that matters.
If your catalogue is still in a workbook, work through the Excel-to-POS migration checklist before setting up a full counter.
Match the scanner to the actual counter
When you request setup, tell us the billing device (Windows PC, Android or iOS), the scanner model and how it connects (USB or Bluetooth). A scanner that works on one computer will not necessarily behave the same on every phone or tablet, so we test the combination you will actually use.
During setup, scan a product once, scan it again, and scan a code that is not in the catalogue. Make sure staff know what the screen does in each case, so nobody is experimenting while a queue builds.
Also practise manual product search. A torn label should not stop a sale, and search results should make pack sizes easy to tell apart.
Test the receipt printer with real bills
Bring the thermal printer model and paper width (58 mm or 80 mm) to the setup discussion, and print real bills rather than relying on an on-screen preview.
Check long product names, bills with many items, discounts, totals and the details your business must show on a receipt. Starbooks produces GST invoices, but your CA or the person responsible for compliance should still confirm that the configured details are right for your business. Our GST invoice guide lists the mandatory fields.
Test what happens when the paper runs out or the printer disconnects, and make sure staff know how to reprint an existing bill instead of creating a second sale just to get another receipt.
Run a barcode acceptance test
Use this table as your test sheet during setup. Every row should pass on your own devices before you go live.
| Test | What to check |
|---|---|
| Scan a familiar item | Correct product, variant and price appear |
| Scan the same item twice | Quantity behaviour is clear and consistent |
| Scan a different pack size | It stays a separate sellable item |
| Scan an unknown code | Staff know the next step |
| Search without scanning | The right item can still be found and billed |
| Return a scanned item | Refund and stock treatment match your store policy |
| Reprint a bill | No extra sale or stock deduction is created |
| Bill without internet | Billing and printing continue normally |
For the offline test, complete a normal sale, disconnect the network and bill again. Starbooks is offline-first, so billing and inventory keep working; when you reconnect, check that the sale has synced to your other devices. Our offline billing guide covers more sync questions.
Train staff on exceptions, not just ordinary sales
A basic training session should cover correcting a quantity, removing a wrong item before completing the bill, handling an unknown barcode and recovering from a printer problem. Agree on who may change product data and how staff report a price mismatch.
Choose one person to approve catalogue changes. Otherwise the same scanning problem can lead to several staff creating duplicate products with slightly different names.
Keep a simple log for the first few trading days: the code, the expected product, what actually happened and what was done. That gives our support team something concrete to fix, which is far more useful than "scanning feels unreliable".
Get Starbooks set up for barcode billing
Request early access on the Starbooks POS page. Share a representative product sample and your scanner and printer details, and we will walk through the full path from scan to bill to stock movement on the devices you plan to use.
Before your trial ends, review any open hardware or workflow questions with us. A good setup is one where the shop handles everyday exceptions smoothly, not just one where a sample item scans.
Frequently asked questions
Does every product need a manufacturer barcode?
No. Many products, such as loose goods or items you pack yourself, have no manufacturer code. Tell us how you sell these today and we will help you set up item codes and manual lookup that suit your catalogue.
Can I use my existing thermal printer and scanner?
Share the models and how they connect when you request access. We will check compatibility with you by scanning and printing real bills on your setup before you go live.
Will barcode scanning fix incorrect stock?
No. Scanning identifies items; it does not correct a wrong opening count. Do a physical count and reconcile stock before relying on the inventory balance.
