Most small business owners we talk to have the same problem: too much time goes into repetitive work. Copying leads from one place to another, chasing payments, answering the same customer questions, building the same reports every week.
AI automation is now practical for businesses of any size. You do not need a developer or a big budget. Tools like n8n, Make, Zapier and Power Automate let you connect the apps you already use, and add AI steps that read, classify, summarise and draft.
Here are fifteen use cases that work well for Indian SMEs, grouped by business function.
Before you start: the 3-question test
Before automating anything, ask:
- Is it repetitive? It happens daily or weekly, the same way each time.
- Is it rule-based enough? A new employee could do it with a one-page instruction sheet.
- What happens if it goes wrong? If a mistake is cheap and easy to fix, automate fully. If it is expensive (money, legal, customer trust), automate the preparation and keep a human approval step.
Start with tasks that pass all three.
Sales and marketing
1. Instant lead follow-up
Today: enquiries sit in an inbox or website form for hours. Automated: every new lead is saved to a sheet or CRM, the customer gets an instant acknowledgement, and urgent leads alert the owner on WhatsApp, Slack or email immediately. AI step: classify the enquiry and score urgency. Effort: low. This is the workflow we build in our n8n tutorial for beginners.
2. Lead enrichment and routing
Automated: look up the company's website, summarise what they do, and route the lead to the right salesperson by region or product. AI step: summarise and categorise.
3. Follow-up reminders that write themselves
Automated: if a quote has not been answered in three days, AI drafts a polite follow-up based on the original conversation; the salesperson approves and sends it. Risk to manage: keep a human approval step. Customers notice robotic follow-ups.
4. Social media and content repurposing
Automated: turn one product update or blog post into a LinkedIn post, an Instagram caption and a WhatsApp broadcast draft. AI step: rewriting for each channel. A human reviews before posting.
Customer support
5. FAQ assistant on your website or WhatsApp
Automated: an assistant answers common questions (timings, prices, delivery areas, return policy) from your own documents, and hands over to a human when unsure. AI step: retrieval over your FAQs and policies, so answers stay accurate. Risk to manage: it must say "let me connect you to our team" instead of guessing. Test it thoroughly before going live.
6. Email and ticket triage
Automated: incoming support emails are categorised (billing, delivery, complaint, product question), prioritised, and an AI draft reply is prepared for staff to edit and send. Effort: medium. Saves significant time once volumes reach dozens of emails a day.
7. Review and feedback monitoring
Automated: collect new Google reviews and feedback forms, flag negative ones immediately, and produce a weekly summary of common themes.
Finance and accounts
8. Invoice and bill data extraction
Today: someone types vendor bills into accounting software by hand. Automated: bills arriving by email or uploaded as photos are read by AI; vendor, GSTIN, invoice number, date, line items and totals are extracted into a sheet for review before entry. Risk to manage: always validate in code (do the line items add up to the total? is the GSTIN format valid?) and keep a human review step before anything is posted to your books.
9. Payment reminders
Automated: from your billing system or a sheet of receivables, send polite reminders on a schedule, escalating in tone, with a payment link. AI step: optional; templates often work better here.
10. Daily sales and cash summary
Automated: every evening, pull the day's sales from your billing or POS software, compare with last week, and send the owner a short summary on WhatsApp or email. AI step: write a plain-language summary of what changed and why it might matter.
11. GST and expense report preparation
Automated: collect the month's invoices and expenses into a structured sheet, flag missing documents and mismatches, and prepare the summary your accountant needs. Note: automation prepares the data; your accountant still files.
Operations
12. Low-stock alerts and reorder drafts
Automated: when stock for an item falls below a threshold, alert the purchase team and draft a purchase order for approval.
13. Delivery and order status updates
Automated: when an order status changes, the customer automatically gets an SMS, email or WhatsApp update with tracking details. Fewer "where is my order?" calls.
HR and admin
14. Resume screening support
Automated: applications arriving by email are saved, and AI produces a short summary of each candidate against the job requirements for the hiring manager. Risk to manage: AI should summarise, not reject. Keep humans making the decisions, check for bias, and handle candidate data carefully.
15. Meeting notes and action items
Automated: after a meeting, the recording is transcribed, summarised, and action items are sent to each person with deadlines.
Which tools should a small business use?
- n8n: flexible, strong AI features, can be self-hosted to keep data in-house
- Make: very visual, good value for multi-step workflows
- Zapier: easiest to start, huge app library, can become costly at volume
- Power Automate: the natural choice if your business runs on Microsoft 365

Watch out for these
- Customer data and privacy. You are processing names, phone numbers and sometimes financial details. Use services you trust, limit access, and follow India's DPDP Act requirements on consent and data handling.
- AI mistakes. AI can misread an invoice or misunderstand a message. Design for it: validation, review steps for anything involving money, and easy correction.
- Hidden costs. Automation tools often charge by task or operation, and AI calls cost per use. Estimate monthly volumes before you commit.
- Automating a broken process. If the process is messy, fix it first. Automation makes a bad process fail faster.
How to get started this week
- List the five most repetitive tasks in your business
- Score each one with the 3-question test above
- Pick the simplest high-value one (lead follow-up is a good first choice)
- Build it, test it with real examples, and run it alongside the manual process for a week
- Measure the time saved, then pick the next one
Learn to build these yourself. Our 2-day AI Automation Workshop builds three ready-to-use automations (lead follow-up, invoice extraction and email triage) live online. The 6-week AI Automation for Business course goes further, with AI agents, reliability, data protection and a capstone automating a process from your own business. Want this for your team?
